EPC Namibia looking for a highly organised and proactive Business Operations Coordinator<\/b> to support the CEO with the day-to-day running of the business. This role is hands-on and operational, ensuring that administrative processes, logistics, and internal coordination run smoothly and efficiently.<\/p>

This position requires someone who thrives in a fast-paced environment, communicates consistently with leadership, and takes ownership of daily operational tasks.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t

Responsibilities<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t

\n\t\t\t\t\t\t\t\t\t

CEO Support & Daily Coordination<\/strong>
\u2022 Provide direct, ongoing support to the CEO on all daily operational matters
\u2022 Maintain constant communication with the CEO to ensure alignment on priorities
\u2022 Assist with scheduling, follow-ups, and execution of tasks
\u2022 Act as a central point of coordination across departments
\u2022 Ensure all critical tasks are tracked and completed on time<\/p>

Job Cards & Operational Admin<\/strong>
\u2022 Manage and track all job cards from creation to completion
\u2022 Ensure job cards are accurately captured, updated, and filed
\u2022 Follow up with relevant teams to ensure timely completion
\u2022 Assist with reporting and reconciliation of completed work<\/p>

Logistics Coordination<\/strong>
\u2022 Coordinate the movement of machines, parts, and components
\u2022 Arrange all required permits and clearing documentation for transport
\u2022 Liaise with transporters, suppliers, and internal teams to ensure smooth operations
\u2022 Organise accommodation and meals for drivers where required
\u2022 Act as the main point of contact when issues arise during transport or delivery
\u2022 Proactively manage and resolve logistical challenges to avoid delays<\/p>

Couriers & Deliveries<\/strong>
\u2022 Coordinate basic courier collections and dispatch
\u2022 Ensure correct documentation accompanies all shipments
\u2022 Track deliveries and follow up where necessary<\/p>

General Administration & Petty Cash<\/strong>
\u2022 Handle daily administrative tasks across the business
\u2022 Manage petty cash, including tracking, reconciliation, and reporting
\u2022 Maintain organised filing systems (digital and physical)
\u2022 Assist with data capturing, quotes, and orders where required<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t

Requirements:<\/strong>
\u2022 Previous experience in an administrative, operations, or coordinator role
\u2022 Experience in mining, construction, or earthmoving industry (advantageous)
\u2022 Strong organisational and multitasking skills
\u2022 High attention to detail and accuracy
\u2022 Ability to work independently and take initiative
\u2022 Strong communication skills with the ability to engage at all levels
\u2022 Proficient in Microsoft Office (Excel, Word, Outlook)<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t
